What happens, step by step

1. You book and give your flight details. Pickup address, airport, airline, flight number and departure time. The flight number matters more than people expect. It is what lets us track delays on the return leg without you having to ring in.

2. We set the pickup time backwards from your flight. Not from the clock, from your departure. A 6am flight out of South Bend International means a pickup around 3:45am. A 6am flight out of O'Hare means a pickup around 3am South Bend time: two hours at the airport, two hours on the road, and O'Hare's 6am is Central time, an hour behind South Bend.

3. The driver arrives at the agreed time. Be at the door, not getting ready. An airport run has no slack built in at the start.

4. Luggage goes in, you get in. The driver handles the bags. Tell us at booking about a wheelchair, golf clubs, skis or a child seat so the right vehicle is sent.

5. Terminal drop-off. South Bend has one terminal. At O'Hare and Midway we need your airline to take you to the right one, so mention it when you book.

6. You pay at the end. Cash or card in the vehicle. Every cab carries a terminal.

How the pickup time is worked out

Three things go into it: how long the drive takes, how long you need at the airport, and what the road is likely to be doing that morning.

Typical pickup times from central South Bend. Confirm yours when you book — your address changes the maths.
AirportDrive timePickup before departure
South Bend International (SBN) 15–20 min about 2 hours
Chicago O'Hare (ORD) 2 hours about 4 hours
Chicago Midway (MDW) 2 hours about 4 hours
Fort Wayne International (FWA) 1 hr 45 min about 4 hours
Indianapolis International (IND) 2 hr 30 min about 4.5 hours
Elkhart Municipal (EKM) 30 min about 2 hours

Add time for international departures, for Notre Dame home weekends, and for the first snow of the season. Chicago traffic on a weekday morning is the single biggest variable on an O'Hare run.

How the return pickup works

We watch the flight, not the clock. Give us the flight number and we track it. If you land forty minutes late, the driver arrives forty minutes late. You do not need to call from the air.

Timing starts at baggage claim, not touchdown. A plane can land on time and still put you on the kerb half an hour later. If you are checking bags, say so, and we build that in.

Where to meet. At South Bend International the arrivals kerb is directly outside the terminal. At O'Hare and Midway there are designated ground transportation areas, and your driver confirms the exact spot before you fly.

Call or text when you have your bags. That is the trigger for the driver to pull up, so nobody circles the terminal and nobody waits at an empty kerb.

International arrivals take longer. Customs, immigration and baggage together can add an hour over a domestic equivalent.

Shared and private shuttles work differently

Private

The vehicle is yours. One pickup, one drop-off, no detours, and the departure time is the one you chose. This is how United Cab operates by default.

Shared

Several passengers heading to the same airport ride together, with pickups along the route. Cheaper per head, but the journey gets longer and the schedule is not yours alone.

Hotel courtesy shuttle

Free for guests, but runs a fixed loop on a fixed timetable and only from that hotel. Check it actually operates at 3:30am before relying on it for an early flight.

What it costs

Pricing is a subject of its own. We have written it up separately on whether you have to pay for an airport shuttle, with the full rate breakdown.

What to have ready when you book

  • Pickup address
  • Airport and airline
  • Flight number
  • Departure or arrival time
  • Number of passengers
  • Number of bags
  • Child seat or wheelchair needs
  • A mobile number that will be on

That is a ninety-second phone call. Booking online at our reservation page asks for the same things.

Where airport trips usually go wrong

Booking from boarding time instead of departure time. Boarding closes well before the plane moves. Work from the departure time on the ticket.

Leaving it to the morning. Same-day airport bookings are often possible, but on a football Saturday or the Wednesday before Thanksgiving they are not. A day's notice removes the risk.

Not mentioning the bags. Four people and six large cases is a van, not a saloon. Tell us at booking and the right vehicle turns up.

A phone that is off or flat. If the driver cannot reach you at the kerb, the pickup stalls. Charge it the night before.

Assuming rideshare will be there at 4am. Driver availability in Michiana thins out overnight. More on that in local taxi versus rideshare.

Who books airport shuttles in Michiana

Business travellers who need the trip to be certain rather than cheap, and who often run a monthly account so payment never interrupts the journey.

Families moving four people and a week of luggage, where one van beats two cars and a parking structure.

Older travellers who would rather be collected at the door than walk from a long-stay lot with bags.

Notre Dame students heading home at Thanksgiving and winter break, when the whole campus leaves in the same seventy-two hours.

Anyone on a pre-dawn departure, which is most of the early Chicago connections out of South Bend.
